    Compliance requirements adherence

    The TOPIX DMS stores your outgoing documents in a tamper-proof and GoBD-compliant manner as PDFs with the unchanged original document in the attachment. It archives self-generated documents such as correspondence, offers, orders, delivery notes, invoices, and purchase orders. Additionally, it processes incoming documents received via email, HotFolder, Drag & Drop, or scanning into your system. Incoming documents are automatically integrated into your ERP workflow. Depending on the type of incoming data, associated processes are automatically triggered, such as processing a ZUGFeRD invoice with the creation of the incoming invoice and its related items. The assignment of highly individual documents to an ERP area can also be done retroactively and adjusted as needed.

    Quick Finding

    All archived documents are stored directly in PDF/A format or converted to this format afterward. This allows for a complete indexing of documents and convenient full-text search. With this full-text search, you can search for specific formulations and text passages beyond all program areas. Multi-keyword fields for external documents also optimize the search. Information from paper documents scanned with OCR technology in TOPIX is also completely readable and searchable. In the viewer window, you can quickly glance at a document without having to open it.

    You can map your entire document workflow with TOPIX. For external documents, paper documents, or incoming documents, you have various options to transfer data to TOPIX: via email, (OCR) scanner, HotFolder, or Drag&Drop. In addition, thanks to the legally compliant archiving of outgoing or electronic documents, you can meet legal requirements while creating a company-wide, central, and intuitive filing system. The available information is always complete and up-to-date. All employees have direct access to the required processes - mobile and in real-time.
